Overview
The Jack & Jill Slack integration lets Jill send role updates and candidate activity to your hiring team in Slack. Setup has two parts:
- Connect Jill to your company's Slack workspace.
- Connect each role to its own Slack channel.
Once a role is connected, Jill can post updates in that role's Slack channel. You can keep email notifications on too, or use Slack as the main notification path.
Before you start
You need:
- A Jill company admin account.
- Permission to install apps in your Slack workspace.
- Access to the Jill role you want to connect to Slack.
Installing Jill's Slack app requires approval from a Slack workspace admin.
Connect your Slack workspace
- Open Jill.
- Go to Settings -> Extensions -> Slack.
- Click Add to Slack.
- Review the Slack permissions and approve the install.
- After Slack sends you back to Jill, check that your Slack workspace appears on the Slack integration page.
If you are not a company admin in Jill, ask a company admin to connect Slack first. Once Slack is connected, you can link your own Slack account.
If the Slack page shows Update on the workspace card later, re-install Jill's Slack app. This refreshes Jill's Slack permissions, workspace settings, and member list.
Match Jill users to Slack users
Jill needs to know which Slack user matches each Jill teammate.
By default, Jill uses Match by verified email. If someone uses the same email address in Jill and Slack, Jill links them automatically.
On the Slack integration page, company admins can:
- View Active Jill users.
- View Connected Slack users.
- Turn Match by verified email on or off.
Keep Match by verified email on unless your team uses different email addresses in Jill and Slack, or you want each teammate to link their Slack account manually.
Link your own Slack account
If Jill has not matched your Slack account automatically:
- Go to Settings -> Extensions -> Slack.
- In Your Slack account, click Connect my Slack account.
- Sign in with Slack.
- Return to Jill and check that your account is connected.
Use Reconnect my Slack account if your Slack email changes. Use Unlink if you connected the wrong account.
Connect a role to Slack
Each Jill role uses its own Slack channel.
- Open the role you want to connect.
- Go to Configure -> Jill Settings.
- In Notifications, click Manage notifications.
- In the Slack row, click Connect channel.
- Choose a channel name. Jill suggests a name like
#jill-vp-finance-and-strategic-operations. - Click Connect.
Jill creates a private Slack channel for the role, or connects to an existing channel if you confirm that is what you want. She also invites matched role teammates where possible.
After the channel connects, Jill turns Slack alerts on for that role. If the Slack row still says Off, switch it On.
Managing notifications
Open Configure -> Jill Settings -> Manage notifications to choose how Jill sends role updates.
You can:
- Send role updates to Slack.
- Send role updates by email.
- Keep both paths on.
- Choose the notification schedule.
- Choose who receives candidate introductions.
For role updates, Jill requires at least one notification path to stay on. If Slack is your only active path for role updates, turn email back on before turning Slack off.
Troubleshooting
I see "Slack is not connected yet". No one has linked your company's Slack workspace yet. Ask a Jill company admin to go to Settings -> Extensions -> Slack and click Add to Slack. Once that's done, you can connect your own account.
Slack says I need a workspace admin. Installing the Jill app requires a Slack workspace admin — even if you're a Jill admin. Ask your Slack admin to approve the install, or have them complete Add to Slack on your behalf.
A teammate isn't connected to Slack. Check whether their Jill email matches their Slack email — with Match by verified email on, Jill links them automatically when the addresses match. If they use different emails, ask them to go to Settings -> Extensions -> Slack and click Connect my Slack account.
Slack says the channel already exists. You picked a name that's already in your workspace. If that channel isn't linked to another Jill role, Jill will ask you to confirm — go ahead and use it. Otherwise, pick a different name.
The channel is already linked to another Jill role. Each role gets its own channel, and a Slack channel can only belong to one role. Go back and choose a different channel name.
Jill can't connect to an existing channel. Jill needs to be a member of the channel before she can post there. In Slack, invite the Jill app to the channel and try again. Or pick a new channel name and let Jill create a private one for the role.
