Pinpoint Integration Guide

Overview

Connect Pinpoint so the people you save, move, pass on, or hire in Jack & Jill show up in your Pinpoint jobs. It also reads back what happens in Pinpoint, so a hire or a rejection there shows up in your pipeline in Jill.

What it does

  • Adds candidates to a Pinpoint job when an action you turned on fires. They arrive with the source Jack & Jill, so you can report on them.
  • Asks Pinpoint not to send its emails. When Jack & Jill adds someone, it tells Pinpoint to skip the “application received” email to the candidate and the “new application” email to your team.
  • Moves candidates through the stages of that job as they progress.
  • Reads changes back, so a hire, a rejection, or a stage move in Pinpoint shows up in Jill.
  • Matches existing people by email, so someone already on that job is reused.

Prerequisites

  • A Pinpoint account where you can turn on the API and create an API key
  • A Jack & Jill account with at least one active role

Getting started

1. Create an API key in Pinpoint

In Pinpoint, open Settings, then API & Webhooks. Turn on the Pinpoint API with the toggle at the top right. Open the API Keys tab, create a key, and copy it. Keep the key private. Anyone who has it can read and change your Pinpoint account.

2. Connect it in Jack & Jill

Open Integrations → Pinpoint and follow the wizard. Enter the API key and your subdomain. The subdomain is the text before .pinpointhq.com in your Pinpoint address.

Jack & Jill tests the connection by reading your jobs. That proves it can read. It cannot prove the key is allowed to add or move candidates until it does so for the first time. If the test says Pinpoint’s API is switched off, turn on the toggle from step 1.

3. Choose which actions sync

During setup you choose which pipeline actions change something in Pinpoint.

Shortlist Adds the candidate to the job at the Applied stage
Pass on a lead Moves the application to a Rejected stage
Request intro Moves the candidate to a Review stage, when the job has one
Complete intro Moves the candidate to an Interview stage, when the job has one
Hire Moves the candidate to a Hired stage

Jack & Jill finds a stage by its type, not its name, so a stage you renamed still works. Pinpoint’s types are Applied, Review, Interview, Offer, Hired, and Rejected. If a job has two stages of one type, Jack & Jill uses the first. If a job has none, that action does nothing.

Jill moves a candidate on a pass or an intro request only while they are still at the Applied stage. Once someone on your team moves them on, Pinpoint owns them and Jill stops. The same applies if a Pinpoint automation moves new applications out of Applied as soon as they arrive: Jill leaves those candidates where your automation put them.

Open a role’s Configure Role → Integrations → Pinpoint section and pick the matching Pinpoint job. Only open jobs appear in the list. Once a role is linked, actions on that role sync to that job.

How syncing works

When an action you turned on fires, Jack & Jill:

  1. Looks for the person on the linked job by email
  2. Adds them if they are not there, with their name, email, phone number when known, LinkedIn profile, and their resume when they have one (PDF, DOC or DOCX, up to 30 MB)
  3. Moves their application when a later action calls for it

About every 15 minutes, Jack & Jill reads the applications that changed on your linked jobs. A hire shows in Jill from the application’s hired date. A rejection shows from its rejected date. Changes in Pinpoint reach Jill on that read, not instantly.

What it does not do yet

  • Resumes after the first add. Pinpoint takes a resume only when the application is created. If a candidate had no resume then, or it was a format Pinpoint refuses (anything other than PDF, DOC or DOCX, or over 30 MB), it is left off and never added later. The candidate is still added.
  • Moves when a job lacks the stage. Request intro, Complete intro, Hire and Pass each look for a stage of a given type on the linked job. If the job has no stage of that type, that action does nothing for that job and does not fail.
  • Moves once your team has taken over. Jill moves a candidate on a pass or an intro request only while they are still at Applied. After that, Pinpoint owns them.
  • Rejection reasons. A pass moves the application to a Rejected stage. Jack & Jill does not choose or write a rejection reason.
  • Instant updates. Pinpoint changes reach Jill on the read about every 15 minutes, because Jack & Jill does not use Pinpoint webhooks.
  • Choosing the source. Every candidate gets the source Jack & Jill and the channel External recruiter. There is no setting to change them.
  • Jobs that ask for more than a name, an email and a CV. If a job requires a phone number, an address, or a personal summary, Pinpoint refuses the candidate and they are not added. Jack & Jill keeps Pinpoint’s message so we can tell you why. Link a job that asks for less, or contact us.
  • Notes and tags. Jack & Jill does not write notes or tags to Pinpoint.
  • A link back. Candidates do not yet link to their page in Pinpoint.

FAQ

Will my team get an email when Jack & Jill adds someone? Jack & Jill asks Pinpoint not to send its “new application” email to your team or its “application received” email to the candidate when it adds someone. That covers the emails Pinpoint sends when an application is created. Automations you set up in Pinpoint are separate: one that emails a candidate when they move to a stage, such as a rejection email on Rejected, can still send when Jack & Jill moves someone, so check your automations before you connect.

Will this create duplicate candidates? Jack & Jill looks the person up on the linked job first, by a reference it stores on every application it adds and then by email. If they are already there, it reuses them.

How do I find the candidates Jack & Jill added? Their source is Jack & Jill, with the channel External recruiter, so you can filter and report on it in Pinpoint.

What happens if I disconnect and reconnect? Your Pinpoint data stays as it is. Reconnecting starts syncing again from that point.

Can I change which events sync after setup? Yes. Open Integrations → Pinpoint and toggle them.

What if I add a new role after setup? Link it to a Pinpoint job. Candidates on that role sync after the link exists.

A job uses anonymized screening. Does that matter? Pinpoint hides candidate details on those jobs, so Jack & Jill cannot match a person there by email. It uses the reference it stores on each application instead, so a retry does not add the same person twice.

The connection test says the API is switched off. What do I do? Turn on the Pinpoint API toggle under Settings → API & Webhooks in Pinpoint, then test again.
